nicefig and Otter

Otter's action items, on one board that keeps itself up to date.

Otter transcribes the meeting and emails the summary. nicefig puts each action item on the work it belongs to, and adds the emails that follow to the same fig.

What Otter does well.

It transcribes live

Otter joins your meetings, writes the transcript as people talk, and labels the speakers.

It emails a summary

After a recorded calendar meeting, Otter emails a summary with topics, action items and highlights, within two hours.

It works in the room too

Record on your phone for an in-person meeting, and the transcript arrives the same way.

How Otter's notes reach your board.

By itself, from your inbox

  1. Keep your calendar synced in Otter, so the Meeting Summary email reaches you after each recorded meeting.
  2. Forward Otter's emails to your nicefig address with one Gmail or Outlook filter. How to set up forwarding.
  3. Each summary is read against your board and filed to the client it is about.

By hand, any time

  1. Open the conversation in Otter and copy the transcript, or export it as a text file.
  2. Paste it, or drop the file, into Add to board in nicefig.
  3. A full transcript finds more than a summary, because the summary has already decided what mattered.

The email that follows the call lands on the same fig.

This is the part nicefig adds.

Monday, Otter's notes

From the callAction items: "Add a price list to the website."

nicefig suggests a new fig on that client's board: "Add a price list to the website", with the call as its source.

Thursday, by email

From the client"It should be green, not orange, and leave out the health check packages."

Nobody named the task. nicefig recognises this as an update to Monday's fig and suggests two steps and a note, with the email as the source.

Each Otter summary is its own list.

Otter gives every meeting its own summary and its own action items. When a client changes something by email three days later, nothing joins that email to the item from the meeting. nicefig reads every meeting and every email against the work already on your board, so the change goes onto the fig it belongs to.

Questions people ask.

Do I need to stop using Otter?

No. Otter transcribes and summarises. nicefig reads the summary, or the transcript, and keeps the work up to date across meetings and emails.

Does nicefig record my meetings?

No. It reads what your recorder produces, and anything else you send it: email, files, photos and voice notes.

Otter only emailed me, not my guests. Is that enough?

Yes. The owner's copy is the one to forward, and Otter sends it to the owner even when guests get nothing.

What happens to a meeting about two clients?

Each piece of work goes to the board it belongs to. Anything nicefig cannot place waits for you to choose.

Keep Otter. Add the board it was missing.
