Privacy notice

Who we are

nicefig ("we", "us") makes the nicefig app at nicefig.com. For anything in this notice, write to [email protected].

What we hold

• Your account: your name, email address, a username, and your password, stored only as a secure hash.
• Your work: everything you put into nicefig. Pasted text, files, photos, recordings and their transcripts, emails you forward, meetings you connect, and the boards, figs, notes and rules made from them.
• The people in your work: names and email addresses that appear in what you put in, and the people you add to your boards.
• What you tell us when you ask for a place: your name, address and the note about your week.
• Records needed to run the service: sign-in times, an activity history on each board so changes can be undone, and a count of the AI reading each account uses.

We do not use analytics or advertising tools, and nicefig sets only the cookie that keeps you signed in. That is why there is no cookie banner.

Why we hold it

• To provide nicefig to you, under our agreement with you (the terms below).
• To keep the service secure and working, which is our legitimate interest.
• To send the emails the service needs: your sign-in link, password resets, trial reminders and replies to you.
• To meet legal duties, such as keeping payment records.

We do not sell your data. We do not use your work to train AI models.

How long we keep it

• Your work stays while your account is open. When you close your account, we delete your boards within 30 days, and they leave our backups within a further 14 days.
• Email no board wants is deleted as soon as it arrives. Only the sender, subject and time are kept, for 7 days, so you can check nothing was missed.
• Requests for a place that we decline are deleted within 90 days.
• Payment records are kept for as long as the law requires.

Your rights

You can ask to see the data we hold about you, correct it, export it, delete it, or object to how we use it. Most of this you can do yourself in the app: export a board, delete a fig, close your account. For anything else, write to us and we will answer within a month. If you are unhappy with our answer, you can complain to your local data protection authority. In the UK that is the Information Commissioner's Office.

People who appear in your work

Your clients and colleagues are named in the calls and emails you put into nicefig. You decide what goes in, and we process it on your behalf. If one of them asks us about their data, we will pass the request to you.

Terms

Using nicefig

These terms are an agreement between you and us. By creating an account you accept them. You need to be 18 or over, and if you use nicefig for a business, you accept them for that business.

Your work is yours

You own everything you put into nicefig and everything it makes from it. You give us permission to store, copy and process it only as far as we need to run nicefig for you. That permission ends when your work is deleted.

You are responsible for having the right to put it in. If a client's contract says their material must not leave certain systems, check before you paste it.

nicefig suggests, you decide

nicefig uses AI to read what you put in and suggest changes. AI can be wrong. Nothing lands on your board until you approve it, nicefig never marks work done and never sends email in your name. Check what it drafts before you send it.

Fair use

Do not use nicefig to break the law, to harm anyone, to send spam, or to get around its limits, and do not try to reach other people's boards. Each account has a ceiling on AI reading, far above ordinary work, and we will tell you before you reach it.

Paying

nicefig costs $19 a month or $190 a year, for up to five boards, after the free days. Payment is taken in advance. You can cancel at any time in your settings: a monthly plan ends at the end of that month, and a yearly plan at the end of that year. We do not refund part-used periods unless the law requires it. If we change the price, we tell you at least 30 days before, and the change applies from your next renewal.

If a payment fails or the free days end, you can no longer add new work, but your boards stay readable and exportable.

Keeping nicefig running

We work hard to keep nicefig available and your work safe, with nightly backups. We cannot promise it will never be down or never make a mistake, and we provide it as it is.

Limits on what we owe

As far as the law allows, we are not liable for indirect losses, such as lost profit or lost business, and our total liability to you is limited to what you paid us in the 12 months before the claim. Nothing here limits liability that the law does not allow us to limit.

Ending

You can close your account at any time. We can suspend or close an account that breaks these terms, and will tell you why unless the law prevents it. If we ever stop running nicefig, we will give you at least 60 days to export your work.

Changes

If we change these terms in a way that matters, we will email you at least 30 days before. The date at the top of this page shows the latest version.

Where your data lives

• Stored in Germany. Your boards live on a server in Nuremberg, inside the EU.
• Backed up every night. Copies are kept for 14 days, with copies held away from the server.
• Encrypted on the way. Every connection to nicefig uses HTTPS.
• Seen only by the people you add. A board is visible to the people on it. For support, nicefig staff can open a board, and every board says so in its settings. Staff access is recorded.
• Read by AI, used for your work. To read what you put in, the text is sent to the AI service listed below, which processes it and sends the result back.
• No tracking. No analytics, no advertising, nothing about how you use nicefig is sent anywhere.
• Yours to take. Export any board as a plain file at any time.

Services we use

These companies process data for us, only to run nicefig.

When data goes to a country without the same protection as the UK or the EU, we rely on the safeguards the law allows, such as standard contractual clauses. We will update this list before we add a service, and tell you by email if the change matters.
